Description:

The HOA & Maintenance Coordinator is primarily an administrative position that requires high level customer service abilities, superior organization & communication skills, and computer proficiency to effectively accept maintenance requests and manage the maintenance process. No onsite maintenance will be performed by this position. This position will also manage all incoming HOA violations for any given property and manage the process of resolving and closing the HOA violation. At RESYS Real Estate and Property Management, our goal is to create a positive experience for both our landlords and tenants, while producing a positive perception of the company and its staff. We aim provide the best customer service while performing all duties in accordance with the company’s policies, practices and procedures.

 

Role and Responsibilities

  • Efficiently manage all property maintenance requests from tenants and landlords by ensuring proper communication is maintained between all parties involved
  • Provide outstanding customer service
  • Ensure that all maintenance requests are completed to the standards of customers
  • Ensure that all payments, invoices, and related financial needs are managed in an organized, legal fashion
  • Create work orders for each maintenance request in the property management system and manage the work order through completion
  • Accept phone calls, emails, text messages and in-person requests for maintenance
  • Effectively communicate messages and updates between tenants, landlords and vendors via all forms of communication
  • Effectively manage challenges by using excellent problem-solving abilities
  • Effectively organize multiple maintenance requests at the same time
  • Must be able to prioritize on the fly and be flexible in day-to-day operations to complete tasks
  • Must have general knowledge of property maintenance topics to best serve tenants and landlords alike
  • Communicate effectively both in verbal and written form to explain processes, procedures, legalities, costs, and all other items related to maintaining a property
  • Ensure that all vendor partners complete work to the standards of Resys Real Estate and hold accountable those who do not meet those standards
  • Must be able to manage and proficiently file paperwork for security purposes
  • Be accountable for service reviews from all sources
  • Manage a schedule for property walk-throughs and property condition checks
  • Must be able to schedule tenants’ walk-throughs via phone, email, and text
  • Follow up on any walkthroughs with tenants and landlords alike to provide updates and offer assistance
  • Update the Walk-Through Specialist of changes to the schedule
  • Manage any HOA violations for all properties including working with HOA’s, vendors, tenants, and owners
  • Communicate with HOA’s regarding violations
  • Communicate with owners and tenants alike regarding outstanding HOA violations to close said violations and avoid any penalties or fees
  • Manage emergency calls on select scheduled weekends
  • Must be able to complete any other duties as required by management

Qualifications and Education Requirements

  • Must have great customer service skills
  • Must have great communication skills
  • Must be able to problem solve under pressure
  • Must be honest, respectful, professional, efficient, and friendly while working with both customers and coworkers alike
  • Must have strong organizational and time-management skills
  • Must have general knowledge of property maintenance and repair
  • Must be able to complete any other work as required by management
  • Must be proficient using email, office hardware, MS Office products, multi-line phone, and general computer software programs
  • Must be a self-starter

Preferred Skills

  • Bi-lingual (Spanish Preferred)
  • Prior property management experience
  • Prior real estate experience
  • Prior office/admin experience

Additional Notes

  • Starting rate $14.00/Hour

Work in an office environment using primarily administrative skills
