POSITION SUMMARY

The Executive Assistant filters and prioritizes visits or phone calls, manages schedules, and often communicates on behalf of the Executive they support.  This position manages calendars, organizes meetings, accepts phone calls, takes and relays messages.  The assistant serves as a liaison between the executive and the rest of the staff, contributes to the organization's planning, and helps the Executive Administrative Pastor's direct reports to be more effective.  The Executive  Assistant should uphold the church’s best interest at all times and should have a clear understanding of the mission and vision of the church, administrative projects, goals, and a strategic plan to efficiently execute each task.

JOB QUALIFICATIONS

Experience

  • 3 to 5 years minimum of demonstrated professional work experience as an Executive Assistant. Prior church, school, or nonprofit experience preferred.
  • Advanced Microsoft Office, major social media platforms, familiarity with website development, Adobe Creative Suite, InDesign and Photoshop skills preferred.
  • Excellent organizational, follow-through, written and oral communication skills.
  • General business knowledge of accounting and budgetary principles.
  • Experience in financial software such as QuickBooks, FreshBooks, or NetSuite.
  • Leadership acumen in managing people and projects with high-quality relational outcomes as well as listen, discern, and facilitate discussions.
  • Strong project management skills and ability to create advanced excel worksheets.

Education

  • High School diploma required. Business classes or certifications a plus.
  • Bachelor’s degree in communications or business preferred but not required. Significant experience can substitute for a degree.

KNOWLEDGE/ SKILLS / ABILITIES

  • Providing administrative assistance, such as writing, and editing emails, drafting memos, and preparing communication on the Executive's behalf.
  • Scheduling and organizing meetings, sending reminders, and organizing catering when necessary.  
  • Good communication skills both oral and written
  • Ability to multi-task and work on a variety of projects with multiple deadlines.

General

  • Manage the Executive's day-to-day calendar, including making appointments and prioritizing the most sensitive matters.
  • Ability to act as a gatekeeper and escalate relevant information to the Executive as needed while maintaining a welcoming and positive attitude.

  • Demonstrates a willingness and a positive "can-do" attitude no matter what circumstance may come up. 
  • Clearly present the Gospel, the good news of salvation whenever the occasion arises
  • Lead, initiate and participate in prayer with whoever needs it; congregants, students, co-workers and the general public
  • Ability to answer questions in alignment with the Bible.

  • Additional duties as assigned

Specific

  • Maintains filing systems as assigned
  • Retrieves information as requested from records, emails, minutes, and other related documents
  • Prepares written summaries of data when needed
  • Responds to and resolves inquiries and questions
  • Prepares agendas and schedules for meetings
  • Records and distributes minutes or other records of meetings
  • Supports Managers/Directors with expenses as assigned

WORKING CONDITION REQUIREMENTS

Must have ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization. Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals. Ability to compute rate, ratio and percent and to draw and interpret bar graphs. While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle or feel; reach with hands and arms; and talk or hear. The employee is frequently required to stand; walk; climb or balance; and stoop, kneel, crouch or crawl. The employee must frequently lift and/or move up to 50 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus. An employee must work with a moderate noise level.
