Role 

This position supports the maintenance department through administrative responsibilities. This role touches on all aspects of the Maintenance department, from inventory control and ordering parts to invoicing and creating purchase orders as well as contacting vendors for service and support.

This position is the backbone of our operation and key to the success of the maintenance team to efficiently and effectively maintain the department.

Responsibilities:

  • Answer incoming telephone calls and assist vendors with invoicing/supply issues.
  • Create and maintain a filing system of department records 
  • Purchase maintenance supplies and/or parts
  • Maintain inventory and conduct cycle counts as required
  • Receive parts and enter in inventory software
  • Create and issue purchase orders 
  • Creates and relays work orders as directed
  • Ensures data accuracy for all documents and reports
  • Create, maintain, and distribute various departmental reports as needed
  • Onboard new vendors as required
  • Greet vendors when they arrive
  • Work with accounts payable to create, process, troubleshoot purchase orders/invoices
  • Track supply inventory and orders
  • Performs other duties as assigned

Qualifications and Education Requirements

  • Communicates in English effectively and professionally, both written and verbally Fluent in Spanish is preferable
  • Proficiency in fleet maintenance software
  • Proficiency in Excel, Word.
  • Ability to self-motivate and follow through on tasks.
  • Strong ability to multitask and prioritize in fast paced environment while maintaining a positive and professional demeanor.
  • Must be able to work independently as well as within a team.
  • Ability to be flexible in job duties.
  • Must be comfortable taking direction from multiple people.
  • Ability to lift up to 15 lbs constantly 
  • Excellent organizational skills
  • Experience working with service and supply vendors
  • Experience with maintaining inventory

Education and Experience

Minimum one year experience in an administrative role, preferably as a maintenance clerk for a fleet maintenance department or an equipment company. 

High School Diploma or equivalent

Physical Requirements

Prolonged periods sitting at a desk and working on a computer

Must be able to lift 15 pounds consistently
